ACENET Finds Home-Grown Email Solution with Canadian Data Sovereignty
A 20-year-old primarily academic consortium transitions from MailChimp to a Canadian platform built for institutional communication
Key Highlights
ACENET is a consortium of post-secondary institutions providing high-performance computing resources, technical support, and training to academic research teams across Canada.
Operating for over 20 years, the organization supports Atlantic Canadian faculty, graduate students, PhDs, undergraduate and industry researchers with access to advanced computing infrastructure and comprehensive training programs.
ACENET maintains communication with more than 3,000 active contacts across multiple institutions, provinces, and research disciplines, tracking 51 distinct audience segments through custom tagging to enable targeted communication. Michele Fash serves as the organization’s Business Development Director, overseeing outreach and marketing.
The Challenge
After a decade with MailChimp, ACENET needed an email platform that aligned with their values and operational reality as a Canadian not-for-profit research organization. The search intensified as data sovereignty concerns grew and pricing structures became increasingly opaque.
- Data Sovereignty Requirements
With increasing inquiries about data storage location and growing concerns about cross-border data access, ACENET wanted a solution with Canadian data hosting. As Michele explained, “We have always preferred to buy Canadian solutions.” - Platform Misalignment with Not-for-Profit Mission
MailChimp’s focus on e-commerce and sales automation didn’t fit ACENET’s institutional communication needs. “A lot of the MailChimp features are geared to eCommerce and sales. It’s not what we’re about,” Michele noted. The organization needed a platform primarily designed for educational and not-for-profit communication. - Pricing
After years of experience with MailChimp, rising prices were becoming an issue. Many of our subscribers are students. As they graduate and move into the workforce, they no longer need our services, so unsubscribe to our communications. Paying for unsubscribed contacts was a pain point. - Complex Migration with No Room for Error
With 3,000 contacts including active research teams across Atlantic Canadian institutions, the migration had to be flawless. The team needed clear documentation and reliable support to navigate domain configuration, script implementation, and contact imports.
The Solution
ACENET discovered Envoke, and Michele immediately recognized it as a potential fit. After reviewing the platform and starting a trial in August, she conducted a methodical migration that included creating a detailed planning document and running multiple test campaigns before sending to the full list.
Envoke provided the key capabilities ACENET needed: flexible contact management with 51 custom tags for tracking institution, province, research discipline, and position; an intuitive interface that felt familiar to MailChimp users; clear, digestible documentation without confusing rabbit holes; a very responsive chat support with real people; and a platform purpose-built for institutional communication rather than e-commerce. The platform supported their transactional contact import workflow synced with their internal user database and enabled subscription forms embedded directly on their website.
I prefer Envoke over MailChimp because the platform feels much more streamlined. The navigation is intuitive, the interface is cleaner, and tasks require far fewer steps. Being based in Canada is an added advantage, ensuring data sovereignty and simplifying compliance. Overall, it delivers a noticeably smoother and more efficient user experience.

The Results
Smooth, Confident Migration
“Overall, I would say it was a very good experience, onboarding,” Michele reported. The transition was completed successfully. After running half a dozen test campaigns, Michele confidently sent the first full newsletter to the entire contact list.
Significantly Improved User Experience
“At the end of the day, I prefer Envoke over MailChimp. I just find it less clunky. I’ve got a nice menu across the top, things flow around easily, I don’t have to click five times to get where I want to go. I just find it a smoother experience.” The simplified interface reduced the cognitive load of routine email tasks. The top navigation menu provides quick access to core functions with fewer clicks required to complete common tasks, and the campaign creation process required minimal training.
Cost Savings with Complete Transparency
ACENET saves over $400/year compared to MailChimp. “Envoke’s pricing is completely transparent—you’re not being charged for features that don’t align with how you actually use the platform,” Michele noted. While price wasn’t the primary driver for switching, the savings confirmed the value of the decision.
